Location: Toronto Employment Type: 18 month maternity leave contract

Position Description 
The Friends of JNF Canada is searching for an Executive Assistant/Receptionist working for the National CEO, CFO/COO and Executive Director of the Central Region. This position reports jointly to the National CEO and Executive Director, Central Region. This position is on-site in the National/Toronto office. 

We are looking for a dynamic, self-motivated individual who is organized, helpful, efficient, and has an eye for detail and accuracy.

Responsibilities 
Manage schedule for the CEO. 
Draft, review and send communications on behalf of company executives. 
Organize and prepare for meetings, including gathering documents, distribution of documents and logistics of meetings, and attending in order to prepare the minutes. 
Prioritize emails and respond when necessary. 
Coordinate travel arrangements. 
File and maintain various records and documents for organization’s executives. 
Maintain a calendar of scheduled meetings, events, and campaigns. 
Liaise with other JNF Canada employees, as needed.
Prepare Expense reports for the CEO and CFO/COO. 
Answer phones and take messages or transfer calls, as appropriate. 
Greet visitors and direct them, as necessary. 
Collect, open, and distribute the mail. 
Assist in taking tree card/bank card orders and entering online order form. 
Data entry into Raiser’s Edge database, as required. 
Manage the ordering of couriers and receiving packages. 
Support the Executive Director with administrative duties, as required. 
Help with set up, day of, and dismantling of events when required. 
Support for the tree/tribute card printing and mailing process.
Additional support, as required. 

Candidate Qualifications 
2+ years of relevant executive, administrative and data entry experience, preferably in the non-profit sector. 
Superior organization, flexibility, and multi-tasking skills. 
Excellent communication skills (verbal and written), interpersonal, and problem-solving skills. 
High degree of initiative and ability to prioritize tasks in a positive and effective manner, meeting critical deadlines. 
Outgoing, positive, confident professional with a warm disposition. 
Demonstrate commitment to the highest standards of ethical practice. 
Ability to condense and package information in a visually appealing and logical manner. 
Understand the need for professionalism, discretion, and patience when communicating with donors and volunteers.
Accuracy and attention to detail is imperative. 
Proficient keyboarding skills and proven in-depth knowledge of Microsoft Office Suite.
Experience with Raiser’s Edge/NXT fundraising software an asset.
Experience using social media platforms including Facebook, Twitter, and Instagram an asset.
